KorissaMemberWhat is the biggest challenge with facility management using Upperhand, and how have you addressed it?
One of the biggest challenges I currently face with Upperhand is managing staff availability and scheduling flexibility, especially during seasonal changes like summer. Our coaches often travel for clinics, and their working hours shift — for example, starting earlier in the day during summer months and then returning to our regular afternoon/evening hours in August.
The issue is that Upperhand does not allow me to set a new range of hours for staff availability without first closing out their existing hours. This creates a logistical problem, as I have to plan out the schedule for each coach day-by-dayduring June and July to reflect these temporary summer hours — all while keeping their standard hours intact for August.
Additionally, this affects classes and enrolled athletes, because in order to change class times or shift instructors temporarily, I have to end the class altogether. Unfortunately, doing so removes the enrolled athletes, which is not ideal for ongoing programs.
The only workaround I’ve found is to keep a general schedule (1–9 PM Monday through Friday) and manually adjust each coach’s availability for every day during the summer. While this is manageable, it’s time-consuming and not scalable.
I’d love to hear any suggestions or improvements that could help simplify seasonal scheduling or allow more flexibility in setting overlapping schedules and coach availability.
